Context:
Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
Background Information
The Human Resource Unit (HR) provides human resources assistance to all staff members within the Regional Office and to all Country Offices in WCA region. These services include but are not limited to recruitment and selection of staff and non-staff, contracts management, personnel action preparation, benefits and entitlements processing, attendance and timekeeping, performance management, staff development and HR policy. The intern will provide general HR and admin assistance to HR unit. Specifically, the successful candidate will assist with the following functions
Supervision
Under the overall supervision of the Regional Human Resources Officer and the direct supervision of the Human Resources Assistant, the HR Intern will provide general clerical support to IOM Dakar Senegal, Regional Office in carrying out HR related tasks including but not limited to local recruitment, preparation of tracking lists, and personnel files filing.
Core Functions / Responsibilities:

Assist in sending out interview and exam invites to the longlisted and shortlisted candidates.

Maintain a tracker or database for e-filing, in coordination with the Local HR Unit:
- Verify all IOM mandatory training requirements are completed by staff and non-staff.
- Verify all contracts and personnel action forms are duly signed and returned to HR Unit on time.
- Follow-up lacking and unsigned documents on a timely manner, and as needed.

Send out HR emails such as Welcome to IOM kit, any relevant HR announcements, birthday greetings, sympathy letters, and weekly vacancy announcements, etc.

Assist newly on-boarded staff by ensuring IOM email address and IOM/UN ID is issued on time.

Assist in sorting applications in the mailbox

Assist with the posting of job advertisement in various platforms

Draft intern’s Certificate of Completion

Assist in the preparation and update of any HR related reports, as deemed necessary.

Perform other related duties as assigned.
Training Components and Learning Elements
- The Intern will gain experience in working in an international multicultural environment, within the United Nations system.
- Gain experience in the organization and coordination of activities related to the Human Resources.
- Gain a better understanding of IOM’s work, as an inter-governmental organization in the field of Migration, and work on formulating and editing institutional strategies, priorities and workplans.
- The Intern will acquire technical knowledge in HR.
- The Intern can also access online training courses at the disposal of all IOM staff and participate in training delivered at a regional and national level.
- The Intern will be coached by the HR staffs.
- The Intern will have the possibility to interact with IOM staff within the regional office.
Required Qualifications and Experience:
Education
- Completed university degree (Bachelor or Master) in Business Administration or any related field from an accredited academic institution.
- HR Diploma or Certification, an advantage.
- are either enrolled in the final academic year of a first university degree program(minimum Bachelor’s level or equivalent) or have graduated in the last 12 months. e) are between 20 and 36 years of age.
Experience
- Experience in office administration work
- Work experience in international/multi-cultural and/or UN system, an advantage
- Demonstrated ability to communicate clearly and effectively with clients;
- High level of computer literacy usage of office MS Office applications (MS Word, Excel, Power Point, Visio etc.)
Languages
English and French are the working languages of the UN Secretariat. For this position, fluency in English is required. Knowledge of a second official UN language is desirable.

Eligibility and Selection
The selected candidate for this internship position will work on site (in the country of the duty station where this position is based). Interns will receive a monthly stipend.
- Only shortlisted candidates will be contacted, and additional enquiries will only be addressed ifthe candidate is shortlisted.
- Depending on experience and location, IOM provides a small monthly stipend to help offset costs.
- This internship program will be supporting the mission in Nouakchott, Mauritania.

Competencies will be assessed during a competency-based interview.
Other:
Appointment will be subject to certification that the candidate is medically fit for appointment, accreditation, any residency or visa requirements, and security clearances. Subject to certain exemptions, vaccination against COVID-19 will in principle be required for individuals hired on or after 15 November 2021. This will be verified as part of the medical clearance process.
